Fil Imane — Headers, footers and numbering

Imane adds the company logo, report title and page numbering. She wants a different header on the cover page and a reliable footer on all other pages.

Continuation of the common thread: a logistics SME in Algiers professionalizes its documents.

1. Header and footer: the basics

The header is the area at the top of each page, above the top margin. The footer is the area at the bottom of each page, below the bottom margin. These areas are ideal for displaying the document title, author name, company logo, or date.

To insert a header or footer, double-click in the corresponding area or use the Insert > Header and Footer tab. Word offers several predefined layouts (blank header, header with page number, header with text aligned left, center or right).

Once in header/footer mode, the body text is grayed out and cannot be edited. Double-click outside the area to return to normal document editing.

2. Page numbering

Page numbering is essential for long documents. To add it, go to Insert > Page number and choose the position (top, bottom, edges) and style (Arabic numerals, Roman numerals, letters).

You can customize the numbering by inserting a “PageNum” field in the header or footer. Do Insert > Field > PageNum to insert the current page number. The NbPages field displays the total number of pages.

To start numbering at a specific digit (for example, if front pages should not be counted), right-click on the page number > Page number format > Start at and enter the desired number.

3. Different headers and footers per section

When your document is divided into sections (via section breaks), each section can have its own header and footer. By default, sections are linked (“Same as above”), but you can separate them.

To differentiate the headers, enable header/footer mode, then in the Design tab (which appears in header mode), uncheck “Same as previous”. You can now enter a different header for this section.

This is very useful for reports where the first chapter has a specific heading, or for books where each chapter displays its title in the heading. Front pages (cover page, summary) may have an empty or different header.

4. Text box elements and fields

For precise positioning in the header or footer, you can insert text box elements. These areas allow text to be placed anywhere in the header, with free positioning in relation to the margins.

fields are dynamic elements that update automatically. They are found in Insert > Field. The most useful fields for headers/footers are: PageNum (page number), NbPages (total number of pages), Title (document title) and Date (updated date).

To insert a field into the body of the text, use Ctrl+F9 to create the field braces, then type the field name (for example DATE). Press F9 to update the field.

Common misinterpretation: “Headers, footers and numbering can be adjusted by feeling. » No: The header and footer are formatting areas repeated on each page of the section. Page numbering uses dynamic fields (NumPage, NbPages). A professional document is built using a reproducible method, not by successive edits.
