2.2Page Layout: Margins, Orientation, Columns
The essentials in 30 seconds
- Margins define the safe space between the edge of the paper and the content
- Landscape orientation is recommended for large tables and diagrams
- Columns divide the text into vertical strips like in a newspaper
Fil Imane — Layout: margins, orientation, columns
Imane's report contains an annex with a broad table. She must adjust the margins, convert the appendix to landscape and organize the document into columns without breaking the pagination.
Continuation of the common thread: a logistics SME in Algiers professionalizes its documents.
1. The margins of the document
The margins define the empty space between the edge of the paper and the content of the document. Word offers presets: Normal (2.54 cm across), Narrow (1.27 cm), Wide (3.18 cm top and bottom, 2.54 cm on the sides), and Mirror (for documents intended for double-sided printing).
To customize the margins, go to the Layout tab > Margins > Custom Margins. You can independently set the top, bottom, left and right margins. Consider the space needed for binding if the document will be printed and bound.
The Gutter option adds additional space on the binding side. For a document bound on the left, add 1 to 2 cm of gutter on the left side.
2. Orientation and Paper Size
The orientation defines whether the document is in Landscape (width > height) or Portrait (height > width) mode. Portrait orientation is most common for text documents, while Landscape is suitable for large tables or diagrams.
The paper size defines the physical size of the sheet: A4 (21 × 29.7 cm) is the European standard, Letter (21.59 × 27.94 cm) is used in North America. You can also choose between other formats like A3, Legal, or custom formats.
Consider the orientation and paper size before you write your document. Changing the orientation midstream may disrupt the existing layout.
3. Column layout
The column layout allows you to divide the text into two, three or more columns on the same page, like in a newspaper or magazine. To enable columns, go to Layout > Columns.
Word offers presets: One (default), Two, Three, Left (narrow left column), and Right (narrow right column). You can also choose Custom Columns to define the exact number of columns and their widths.
The columns apply to the current section of the document. If you want columns only on certain pages, insert section breaks to isolate those pages in a separate section.
4. Manage sections for varied layouts
A section is a part of the document that can have its own layout (margins, orientation, columns). By default, an entire document is a single section, but you can create multiple sections.
To insert a section break, go to Layout > Breaks > Section Breaks. Choose “Next Page” to start the new section on a new page, or “Continuous” to stay on the same page.
Sections are very useful for creating a document with parts in portrait and others in landscape, or for mixing parts in one column and others in several columns.
🔎 Concrete example — Real world example — Create a document with columns and variable layout
// Step 1: Configure margins
// Layout tab > Margins > Custom Margins
// Top: 1 inch, Bottom: 1 inch, Left: 1.25 inch, Right: 1 inch
// Step 2: Apply columns
// Layout tab > Columns > Two
// Text automatically distributes across two columns
// Step 3: Insert a section break to change orientation
// Layout tab > Breaks > Next Page (section break)
// Layout tab > Orientation > Landscape
// This page is now landscape, others remain portrait
Here's how to set up a document with columns and different orientations.
Margins define the printing area on each sheet
Landscape orientation is ideal for wide paintings
Columns create a magazine-style layout
Sections allow you to vary the layout within a document
Section vocabulary
- Margins
- Empty space between the edge of the paper and the document content, configurable for each side
Simple example: Imane applies “Margins” in her professional documents.
What it is not: treat “Margins” as a detail with no impact on the document.
Reflex: Does this choice make the document clearer and more reliable?

In practice — Create a document with mixed layout
- Create a new document with Normal margins
- Add a title and two paragraphs of text
- Apply the two-column layout via Layout > Columns
- Insert a section break (Next Page) after the second paragraph
- Change the orientation of the new section to Landscape
- Verify that the first section remains in Portrait with two columns
Script ready to say — Layout: margins, orientation, columns (25 sec)
“Properly configure margins, orientation and paper size, then organize text into columns to create professional layouts. Concretely, I check this point before distributing the document: the margins define the security space between the edge of the paper and the content. »
Short wording, to be adapted to the recipient and the context of the document.

✓ Best practices
- Set the margins and orientation before you start writing
- Use section breaks (not page breaks) to vary the layout
- Consider binding by adding the gutter if the document will be printed
- Test the layout in Print Preview mode
✗ Common pitfalls
- Use page breaks instead of section breaks to change orientation
- Forgetting that columns apply to the entire section, not part of a page
- Changing the margins after writing the document, which disrupts the layout
- Do not allow space for binding when printing double-sided

Frequently asked questions
How to create a document with parts in portrait and others in landscape?
Insert a section break (Next Page) where you want to change the orientation, then change the orientation of the new section.
Do the columns apply to the entire document?
By default, yes. But if you insert a section break before and after the columns, only that section will be in columns.
How do I add space for binding?
In Custom Margins, increase the Gutter value (bottom left). This adds extra space on the binding side.
Can I have columns of different widths?
Yes, choose Custom Columns and set the width and spacing of each column individually.
In which tab are the layout options (margins, orientation, columns) found?
