6.1Concrete case studies
The essentials in 30 seconds
- Two complete projects: a 30-page annual report and a direct mail campaign for 250 recipients.
- The method before speed: structure, styles, verification and export follow each other in a stable order.
- A deliverable is judged by use: readability, pagination, accessibility and reuse count for more than the number of functions used.
Fil Imane — two missions from start to finish
Imane receives two missions: produce the annual report intended for partners and prepare the invitations to the company seminar. Each mission replays the same approach: frame the need, structure, format, verify and transmit.
Each case follows Context, Steps, Result: replay it on your own documents.
Why concrete cases?
Mastery of Word is not limited to knowing the features: it is built by combining them to solve real problems. This chapter immerses you in two common professional scenarios that require transversal mastery of the tool.
Each case is presented with its context, the detailed implementation steps and the expected result. Follow them in parallel in Word to anchor learning in practice.
Case 1 — Create a professional report from A to Z
Context: You are responsible for communications in an SME with 50 employees. Management asks you to write the 30-page annual activity report intended for partners and investors. The document must be impeccable: cover page, table of contents, personalized headers and footers, images and graphics, footnotes, and final high-quality PDF export.
Déroulé :
- Open a blank document and configure the layout (custom margins: top 2.5 cm, bottom 2.5, inside 3 cm, outside 2 cm; portrait orientation; A4 format).
- Create a custom “Report Title” style (Font: Calibri Light 28 pt, dark blue color, centered) and apply it to the main title.
- Insert a cover page using the Insert > Cover page menu, choosing a simple template and personalizing the fields (title, subtitle, date, company logo).
- Structure the document with native styles: Title 1 for chapters, Title 2 for sections, Title 3 for subsections. Apply these styles systematically to each paragraph header.
- Write the content ensuring typographical consistency: 1.15 line spacing, 11 pt Calibri font for the body text, aligned left with unjustified right for drafts, justified for the final version.
- Insert images and graphics via Insert > Illustrations > Images. For each image, add a caption (right click > Insert caption) and accessible alternative text. Use the “With Text” anchor to control positioning.
- Add footnotes for sources and references: Insert > Footnotes > Insert Footnote. Format the numbering as lowercase Roman numerals.
- Insert the table of contents: References > Table of contents > Custom table of contents. Check that all titles appear at the correct hierarchical level and the correct pagination.
- Configure headers and footers: Header with logo on the left and document title on the right; Centered footer with page number and “Confidential” mention. Use the “First different” option to exclude the cover page.
- Run a final check: Tool > Verify > Check for spelling and grammar errors, then Tools > Compatibility > Check for compatibility issues.
- Export to PDF: File > Save As > PDF. In the options, choose “Standard (online publication and printing)”, check “Bookmarks created from: Titles” and “Document tags for accessibility”.
- Check the generated PDF: check the clickable table of contents, the readability of the images, the correct positioning of the headers/footers and the absence of text breaks.
Result: A professional 30-page annual report, fully structured with consistent styles, a dynamic table of contents, captioned images, footnotes, custom headers and footers, and a PDF file optimized for printing and digital distribution.
Case 2 — Set up a direct mail campaign for a corporate event
Context: Your company organizes its annual seminar for 200 employees and 50 external partners. You must send personalized invitation letters (name, position, chosen workshop, name of workshop leader, specific dates) as well as printable participant badges. The data source is an Excel file with 250 rows.
Déroulé :
- Prepare the data source: open the Excel file containing the fields (Last Name, First Name, Position, Company, Workshop1, Workshop2, WorkshopDate, Workshop Manager, ParticipantType). Check that there are no problematic empty cells, that the headers are on the first line and that the format is (.xlsx).
- Open a new Word document and create the letter template: write the header with the company logo and address, then the body of the letter with fixed text and placeholders for merge fields.
- Start the Mail Merge Wizard: Mail Merge > Start the Mail Merge Wizard > Mail Merge Steps. Choose “Letters” as the document type, “Use current document” as the starting point.
- Select the data source: in step 3, choose “Use an existing list”, navigate to the Excel file, select the sheet containing the data and validate. Check the record preview in the mail merge pane.
- Insert merge fields into the document: place the cursor where you want, then Mail Merge > Insert a merge field > Merge Fields. Insert “First name” and “Last name” in the greeting, “Function” and “Company” in the first paragraph, “Atelier1” and “DateAtelier” for the program part.
- Add conditional rules to personalize content: Mail Merge > Rules > If…Then…Else. Create a rule that displays a specific paragraph for “External Partners” (ParticipantType field = “External”) and another for internal collaborators.
- Insert a conditional merge field for the name of the workshop leader: use the If…Then…Else rule to display “Responsible: [Workshop Manager]” only if the participant is registered for a workshop (Workshop1 field not empty).
- Preview results: Mail Merge > Preview Results. Navigate between records to verify that all fields are populated correctly and that conditions apply. Correct any anomalies in the source.
- Finalize and perform the mail merge: Mail Merge > Finish and Merge > Edit individual documents to generate a single document containing all letters, or "Print Documents" to send directly to the printer, or "Send Emails" for distribution by email.
- Create the badge template: open a new document, configure the page size in labels (File > New > Labels > Custom Options: 8.5 cm x 5.4 cm). Insert the merge fields (First name, Last name, Company, Workshop1) and a dynamic barcode or QR code if available.
- Generate the badges in a printable version: merge with the same data source, then “Edit individual documents” to produce a document with all the badges. Check alignment and printing on badge paper.
- Carry out a test sending: select 5 representative records (2 internal, 2 external, 1 without workshop), generate the test letters, reread them carefully, then launch the complete sending.
Result: A complete direct mail campaign with 250 personalized invitation letters containing dynamic merge fields and conditional rules, plus 250 printable badges, all generated in minutes from a single Excel source.
Script ready to say — frame a report (30 s)
“I start by clarifying the recipient, the length, the annexes and the distribution format. Then I structure with the styles, I check the table of contents and I export a control PDF. »
To be used at the start of a project to avoid rework.
Ready-to-say script — frame a mailing (25 sec)
“We start from a clean Excel source, with headers on the first line. I test five profiles, check the conditional rules, then generate the letters and badges. »
Show that quality depends first of all on the source.

Frequently asked questions
Do we have to rebuild everything for each report?
No. The template, styles and reusable blocks save most of your time. What changes is the content and the evidence.
How much time should you allow for a 30 page report?
Allow one to two hours for the base (styles, headers, TDM), then the time for writing and proofreading. An existing template greatly reduces formatting.
Can we mail badges and letters with the same source?
Yes, provided you prepare a single source and consistent fields. Conditional rules adapt content to the type of recipient.
What is the first deliverable of a document project?
A case is replayed, it is not copied: the method remains, the content changes.
