Fil Imane — Bibliography, citations and indexes

Imane writes a regulatory monitoring note. She must manage citations, construct a bibliography and create an index of the themes covered.

Continuation of the common thread: a logistics SME in Algiers professionalizes its documents.

1. Manage bibliographic sources

Word includes a source manager which allows you to add, modify and organize the bibliographic references in your document. It can be found in References > Manage Sources. Each source contains complete information: author, title, year, publisher, URL, etc.

When you add a new source, you must choose its type (book, journal article, website, thesis, etc.). Each type has specific fields to fill out. Word saves sources in a sources file (.xml) that can be reused in other documents.

The locator specifies the location of the information in the source: page number, chapter, section, URL, etc. This is an optional field but recommended for specific citations.

2. Insert in-text citations

To insert a citation in the text, place the cursor in the desired location then go to References > Insert citation. The list of sources already recorded is displayed. Select the source and Word inserts the citation in the format of the chosen bibliographic standard (APA, MLA, Chicago, ISO 690, etc.).

The most common citation formats are: APA (author, date), MLA** (author page), Chicago** (footnote), IEEE** (number in brackets), and ISO 690** (author, date, title). The format is selected in References > Style.

For a long quotation (> 40 words in APA standards), we use an indented paragraph: an indented block of text without quotation marks, in slightly smaller font. Word provides this formatting via the “Indented Paragraph” option in the citations menu.

3. Generate the bibliography

Once all your sources have been saved and your citations inserted, you can generate the bibliography automatically. Go to References > Bibliography and choose a predefined format (Bibliography, Works Cited, Works Cited).

The bibliography is a dynamic field which lists all the sources cited in the document, sorted in alphabetical order (or in order of appearance according to the standard). If you add or delete a source, the bibliography is updated the next time you update the fields (F9).

The format of the bibliography depends on the selected bibliographic style. Each style has its rules: APA puts the year after the author, MLA puts the title in quotation marks, etc. Choose the style required by your institution or publication before generating the bibliography.

4. Create a thematic index

An index is an alphabetical list of important terms in the document with the page numbers where they appear. To create one, you must first mark entries: select the term then go to References > Mark an entry (or Alt+Shift+X).

You can create main entries and sub entries (two-level hierarchy). The “All occurrences” option automatically marks all instances of the term in the document. You can also create cross-references in the index (see “Word, also Other term”).

To generate the index, place the cursor in the desired location then go to References > Insert Index. The index is a dynamic field that updates with F9. It is recommended to mark entries after finalizing the document content to avoid incorrect page numbers.

Common misinterpretation: “Bibliography, citations and index are regulated by feeling. » No: The source manager saves bibliographic references in a structured way. Citations are inserted dynamically according to the format of the chosen standard. A professional document is built using a reproducible method, not by successive edits.
