5.2Sharing, comments & export
The essentials in 30 seconds
- SHARING by LINK (cloud diagram) with PERMISSIONS (reading for consultation / modification for co-editing): recipients access THE up-to-date version — replaces sending files.
- COMMENTS: annotations (possibly on specific shapes) to give feedback/ask a question/suggest, without altering the diagram; traceable, resolvable thread — for DIRECT collaborative REVIEW (vs. disconnected email).
- EXPORT (PDF, image, web page) to DISSEMINATE widely to those who will not edit or do not have Visio (reminder of 0-4, in the context of sharing).
Ongoing mini-case — Nadia applies “Sharing, comments & export”
Nadia, quality and organization manager in a service SME in Algiers, must share (link, permissions), comment (direct collaborative review) and distribute (export) her diagrams. She starts from “Sharing, comments & export” and follows the procedure: SHARE a diagram (in the cloud) via a link, defining the permissions (read only for consultation, or modification for co-editing). Add COMMENTS (possibly on specific forms) to give feedback or ask a question; Reply to others' comments (thread), resolve them once processed. Use comments for collaborative REVIEW (directly on the diagram, at the appropriate location) rather than email remarks. EXPORT (PDF, image, web page) to distribute widely to those who will not edit it or do not have Visio. Expected result: You share (link, permissions), comment (direct collaborative review) and distribute (export) your diagrams — truly collaborative work: a diagram shared, commented, revised and distributed effectively.
Ongoing case from section 5.2: it comes back in the script and the 48 hour challenge.
1. Sharing and comments
Beyond co-editing (5-1), several features facilitate SHARING and feedback on diagrams. SHARING: when a diagram is in the cloud (OneDrive/SharePoint), we share it via a LINK (like other Microsoft 365 files), by defining the PERMISSIONS (read only, or modification) and the recipients. Sharing by link advantageously replaces sending files: recipients access THE (up-to-date) version of the diagram, we control who can see/modify. You can share for CONSULTATION (recipients see the diagram, in Visio for the web or via a link) or for CO-EDITING (they can modify it — section 5-1). Cloud sharing is the modern way to distribute a diagram for collaboration or consultation, keeping a single and up-to-date version.
2. Export to broadcast
COMMENTS: as in other Microsoft 365 applications, you can add COMMENTS to a diagram (annotations attached, possibly to specific shapes) to give FEEDBACK, ask a question, suggest a modification — without altering the diagram itself. Collaborators view and respond to comments (a discussion thread). This is valuable for the collaborative REVIEW of a diagram: instead of exchanging comments by e-mail (disconnected from the diagram), we comment DIRECTLY on the diagram, at the relevant location, in a traceable thread. Comments can be resolved once they have been processed. Finally, the EXPORT (already seen in 0-4, recalled here in the context of sharing): to distribute a diagram to those who will not edit it (or do not have Visio), we EXPORT in PDF (fixed document), in IMAGE (PNG/JPG, to insert elsewhere), or in web page. The export is for wide distribution and consultation by non-Visio users. These functionalities (sharing by link, comments, export) complete the collaboration: sharing gives ACCESS (controlled, to a single version), comments allow RETURN and review (directly on the diagram), export allows wide DISTRIBUTION (PDF/image for all). Together with co-editing (5-1), they cover the entire spectrum of collaborative work and dissemination: co-creating (co-editing), giving your opinion (comments), sharing for collaboration or consultation (cloud sharing), and disseminating widely (export). Mastering these tools makes working on diagrams REALLY collaborative and well-distributed: a diagram is no longer an isolated file, but an object shared, commented on, revised and distributed effectively. This is what places Visio in the modern collaborative uses of Microsoft 365.
🔎 Concrete example — Comment in the right place
Located and traceable.
Comment attached to a form: “this step is missing a condition”.
Reply thread, then resolution once processed.
→ vs scattered remarks by e-mail, disconnected.
Result: a clear and traceable collaborative review.
Reflex: export to PDF for non-Visio users.
Section vocabulary
- Share by link
- Share a diagram (in the cloud) via a link, with PERMISSIONS (read/modify); recipients access THE up-to-date version — replaces sending files.
Simple example: In “Sharing, comments & export”, Nadia applies it as follows: SHARE a diagram (in the cloud) via a link, defining the permissions (read only for consultation, or modification for co-editing).
What it is not: It is not a simple decorative element: without this reference, the diagram loses clarity or rigor.
Reflex: Sharing by link → share a diagram (in the cloud) via a link, with PERMISSIONS (read/edit)
- Consultation vs. co-editing
- Share for CONSULTATION (see diagram) or for CO-EDITING (edit it — 5-1), depending on permissions granted.
Reflex: Consultation vs co-authoring → share for CONSULTATION (see the diagram) or for CO-EDITION (edit it — 5-1), depending on the permissions granted
- Comments
- Annotations attached (possibly to specific shapes) to give feedback, ask a question, suggest — without altering the diagram; collaborators respond (traceable, resolvable thread).

What it is not: It is not a simple decorative element: without this reference, the diagram loses clarity or rigor.
Reflex: Comments → annotations attached (possibly to specific shapes) to give feedback, ask a question, suggest — without altering the diagram
- Collaborative review
- Comment directly on the diagram (at the relevant location, in thread) rather than by disconnected email; to review a diagram with several people.

In practice — Share, comment and distribute a diagram
- SHARE a diagram (in the cloud) via a link, setting permissions (read only for consultation, or modification for co-editing).
- Add COMMENTS (possibly on specific forms) to give feedback or ask a question; Reply to others' comments (thread), resolve them once processed.
- Use comments for collaborative REVIEW (directly on the diagram, at the appropriate location) rather than email remarks.
- EXPORT (PDF, image, web page) to distribute widely to those who will not edit it or do not have Visio.
Script to say — Sharing, comments & export
1) SHARE a diagram (in the cloud) via a link, setting permissions (read only for consultation, or modification for co-editing). 2) Add COMMENTS (possibly on specific forms) to give feedback or ask a question; Reply to others' comments (thread), resolve them once processed. 3) Use comments for collaborative REVIEW (directly on the diagram, at the relevant location) rather than email comments. 4) EXPORT (PDF, image, web page) to distribute widely to those who will not edit it or do not have Visio. Then I check: You share (link, permissions), comment (direct collaborative review) and distribute (export) your diagrams — truly collaborative work: a diagram shared, commented, revised and distributed effectively
Adapt the names, forms and distribution format to your context.
Copy and paste model — Card 5.2
Card 5.2 — Sharing, comments & export
Objective: share (link, permissions), comment (direct collaborative review) and distribute (export) your diagrams
1. SHARE a diagram (in the cloud) via a link, setting permissions (read only for viewing, or editing for co-editing).
2. Add COMMENTS (possibly on specific forms) to give feedback or ask a question; Reply to others' comments (thread), resolve them once processed.
3. Use comments for collaborative REVIEW (directly on the diagram, at the appropriate location) rather than email remarks.
4. EXPORT (PDF, image, web page) to distribute widely to those who will not edit it or do not have Visio.
Expected result: You share (link, permissions), comment (direct collaborative review) and distribute (export) your diagrams — truly collaborative work: a diagram shared, commented, revised and distributed effectively
SME / low budget
Minimum version: SHARE by LINK (cloud diagram) with PERMISSIONS (reading for consultation / modification for co-authoring): recipients access THE up-to-date version — replaces sending files. We limit ourselves to a model, a diagram and a PDF export.
Algerian SME
Local context: COMMENTS: annotations (possibly on specific shapes) to give feedback/ask a question/suggest, without altering the diagram; traceable, resolvable thread — for DIRECT collaborative REVIEW (vs. disconnected email). We adapt the wording, examples and distribution formats to the team.
Remote work
Remotely: eXPORT (PDF, image, web page) to DISTRIBUTE widely to those who will not edit or do not have Visio (reminder of 0-4, in the context of sharing). We favor cloud storage, sharing by link and comments.
Multidisciplinary team
For a mixed audience: with co-authoring (5-1): co-create (co-authoring), give your opinion (comments), share for collaboration/consultation (link), distribute (export). A diagram is no longer an isolated file but a shared, commented, revised and distributed object. We explain the symbols and keep the wording short.
✓ Best practices
- Share by link with the correct permissions.
- Comment directly on the diagram (located, traceable).
- Resolve comments once processed.
✗ Common pitfalls
- Send scattered remarks by email (disconnected).
- Share in edit when reading only is enough.
- Send the raw .vsdx to anyone who does not have Visio (prefer an export).
Key takeaways
- SHARING by LINK (cloud diagram) with PERMISSIONS (reading for consultation / modification for co-editing): recipients access THE up-to-date version — replaces sending files.

Frequently asked questions
How to organize an effective collaborative review of a diagram (sharing, comments)?
A well-organized collaborative review (sharing, comments) allows several people to improve a diagram in an efficient and traceable way — much better than exchanging scattered comments by e-mail. Here's how to do it. The problem of the “old-fashioned” review: without dedicated tools, reviewing a diagram with several people is done through SCATTERED remarks (emails, messages, notes) DISCONNECTED from the diagram (“the box at the top right should be…”, “a step is missing after validation”) — difficult to locate, follow, and process. We lose comments, we don't know what was taken into account, the exchanges are confused. Tools for effective review: (1) SHARE by link (controlled access to a single version). Share the diagram (in the cloud) via a link with reviewers, as READ ONLY (if they just need to comment) or as EDIT (if they can also edit). Everyone has access to THE up-to-date version — no multiple copies, no confusion about the version. (2) COMMENTS directly on the diagram. Reviewers add COMMENTS ATTACHED to the diagram (possibly to specific FORMS): “this step is missing a condition”, “do we need a branch here? », “the wording is not clear”. The comment is LOCATED (at the relevant location) and TRACEABLE (in a thread). No more disconnected remarks: each comment is where it applies, on the diagram. (3) Discussion threads and RESPONSES. Collaborators RESPOND to comments (one discussion thread per comment): we discuss a specific point, we clarify, we decide — in a traceable way. (4) RESOLUTION of comments. Once a comment has been PROCESSED (the modification made, the question answered), we RESOLVE it (mark it as resolved). We thus follow what has been taken into account and what remains to be processed — nothing is lost. (5) CO-EDITING in real time (if relevant). For an interactive review, reviewers can co-edit in real time (section 5-1): discuss and edit together live. How to organize an effective review (the method): (1) SHARE the diagram (in the cloud, link) with the reviewers, with the right permissions (read to comment, modification if co-editing). Everyone has access to the updated version. (2) ASK for comments DIRECTLY on the diagram (not by email): reviewers comment where appropriate (on specific shapes/areas). The remarks are thus located and traceable. (3) DISCUSS in comment threads (reply, clarify) to resolve points. (4) PROCESS and RESOLVE comments: make changes, answer questions, mark comments resolved. We follow the progress of the review (what is processed vs. what remains). (5) For an interactive/meeting review, real-time CO-EDITING allows you to review and modify together live (effective for a review workshop). (6) INTEGRATE into the Teams space if relevant: review the diagram where the team is collaborating. The advantages of this approach: (1) Notes LOCATED (on the diagram, where appropriate) — clear, not disconnected. (2) TRACEABILITY (comment threads, resolution) — we track what is said, processed, resolved; nothing is lost. (3) SINGLE VERSION (no copies, no confusion). (4) Fluid COLLABORATION (comments, responses, co-editing) — the review is a structured exchange, not a jumble of scattered remarks. (5) EFFICIENCY (improving the diagram with several people in an organized way). Nuances: (1) These features (cloud sharing, comments, co-editing) assume the Microsoft 365 environment (cloud, Visio for the web or connected desktop). (2) For reviewers without access to Visio, we can also share an EXPORT (PDF) for consultation, but the integrated comments on the diagram are more effective for a true collaborative review. In summary: organize an effective collaborative review by (1) SHARING the diagram via a link (single version up to date, permissions adapted), (2) collecting COMMENTS DIRECTLY on the diagram (attached to relevant shapes/areas — located and traceable, not disconnected comments via email), (3) DISCUSSING in comment threads (replies, clarifications), (4) PROCESSING and RESOLVING comments (tracking what is taken into account). account), (5) using real-time CO-EDITING for an interactive review if relevant. This approach (sharing + located and traceable comments + resolution + co-editing) makes the review CLEAR, TRACEABLE and EFFECTIVE — much better than scattered comments by email disconnected from the diagram. A collaboratively revised diagram thus improves in an organized manner, with everyone's contribution and monitoring of what is processed. This is what places work on diagrams in modern collaborative uses — a shared object, commented on and revised effectively, not an isolated file that is exchanged.
